Exchange Online provides email storage for users, but over time, storage limits may be reached. This guide will help staff clear out unnecessary emails to free up space efficiently.
Step 1: Clearing Out Drafts Folder
Open Outlook on your computer or log in to Outlook Web App (OWA).
Locate the Drafts folder in the left-hand menu.
Review the drafts and delete any emails that are no longer needed.
Click on an email and press Delete or select multiple emails using Ctrl + Click.
Empty the Deleted Items folder to permanently remove them.
Step 2: Emptying the Deleted Items Folder
In Outlook, navigate to the Deleted Items folder.
Click Empty Folder to permanently delete all emails.
Alternatively, select individual emails to delete manually.
Confirm the deletion when prompted.
Step 3: Using Outlook Online Cleanup Tools
In Outlook Desktop App, go to File > Tools > Mailbox Cleanup.
Use the Find items older than… option to locate and delete old messages.
Use Empty Deleted Items Folder to remove unnecessary emails.
